Job Description
This position is responsible for managing a wide range of administrative and operational tasks to ensure smooth business operations. The role requires handling monthly payroll processing, maintaining and updating company contracts and legal documents, preparing KYC (Know Your Customer) documents, overseeing rental and other administrative payment operations, and managing employee benefits and policies. Additionally, the candidate will be involved in the full-cycle recruitment process for open positions, including sourcing qualified candidates, conducting interviews, coordinating hiring procedures, and negotiating job offers. A key focus will also be on delivering an exceptional candidate experience throughout the hiring journey, from initial contact to onboarding.
Key Responsibilities
- Execute monthly payroll processing with precision, ensuring accurate calculations and timely distribution to all employees.
- Oversee the preparation, review, and updating of company contracts and legal documents to maintain compliance with regulatory requirements.
- Manage KYC documentation processes, including gathering and verifying necessary information for compliance and risk management.
- Handle rental and other administrative payment operations, ensuring proper tracking, processing, and reconciliation of expenses.
- Administer employee benefits and policies, including enrollment, communication, and troubleshooting related issues.
- Lead the full-cycle recruitment process for open positions, from identifying staffing needs to finalizing hires.
- Source candidates through various channels, screen resumes, conduct interviews, and coordinate with hiring managers to ensure alignment with job requirements.
- Facilitate the negotiation of job offers, including salary discussions and onboarding logistics.
- Ensure a seamless candidate experience by maintaining clear communication, providing timely feedback, and supporting the transition from hiring to onboarding.
- Collaborate with cross-functional teams to streamline administrative workflows and improve overall operational efficiency.
Job Requirements
- Proven experience in administrative or HR roles, with a strong background in payroll processing and document management.
- Excellent organizational skills to handle multiple tasks simultaneously and maintain accurate records.
- Strong attention to detail to ensure compliance with legal, financial, and HR standards.
- Proficiency in using HR software and document management systems for efficient operations.
- Ability to communicate effectively with employees, management, and external partners to resolve issues and provide updates.
- Knowledge of employment laws, contract regulations, and compliance procedures is a plus.
- Strong problem-solving abilities to address administrative challenges and improve processes.
- Excellent time management skills to meet deadlines for payroll, document updates, and recruitment activities.
- Ability to work independently and as part of a team to achieve organizational goals.
- Proficiency in English and any additional languages required for international communication.
