Job Description
This role is responsible for overseeing the operational management of investment funds, ensuring seamless coordination with external vendors and service providers. The candidate will handle all aspects of fund administration, including regulatory compliance, financial reporting, and investor communication. Key tasks involve maintaining accurate records, streamlining internal processes, and supporting the strategic goals of the firm through proactive project management. The position also requires fostering relationships with portfolio companies to identify growth opportunities and managing financial obligations efficiently. This role serves as a critical link between the firm's investment strategy and its operational execution, requiring a balance of analytical rigor and interpersonal skills to drive long-term value creation.
Key Responsibilities
  • Manage day-to-day fund operations with various vendors (banks, custodians, fund administrators, legal advisors, tax advisors, auditors, etc.), gaining exposure to all facets of fund management
  • Oversee regulatory filings, annual tax and audit activities, and maintain comprehensive internal databases for operational records
  • Support investor relations initiatives such as onboarding processes, ad-hoc email campaigns, and quarterly newsletters to enhance stakeholder engagement
  • Identify operational inefficiencies and lead projects to implement process improvements and cost-saving measures
  • Prepare clear, concise, and result-driven reports directly to the Chief Operating Officer (COO) and General Partner (GP) of the firm
  • Develop and maintain relationships with portfolio companies to understand their growth needs and provide strategic support
  • Monitor and manage all financial expenditures, ensuring timely payment of bills, employee reimbursements, and operational costs
  • Collaborate with cross-functional teams to ensure alignment with organizational objectives and regulatory standards
  • Stay updated on evolving financial regulations and industry best practices to maintain compliance and operational excellence
  • Provide analytical insights to support decision-making and improve fund performance
Job Requirements
  • Minimum of 3 years of experience in fund operations, investor relations, or related financial services roles
  • Strong understanding of fund administration processes, including regulatory compliance, tax reporting, and audit procedures
  • Proficiency in managing vendor relationships and coordinating with external service providers
  • Excellent organizational skills with the ability to handle multiple tasks simultaneously in a fast-paced environment
  • Strong communication abilities to interact effectively with investors, portfolio companies, and internal stakeholders
  • Attention to detail to ensure accuracy in financial records, reports, and compliance documentation
  • Basic knowledge of financial software and database management tools for tracking operational data
  • Ability to analyze financial information and present actionable recommendations to senior management
  • Proficiency in English for written and verbal communication, with additional language skills preferred
  • Strong work ethic with a commitment to maintaining high standards of professionalism and confidentiality
  • Flexibility to adapt to changing priorities and contribute to continuous process improvement initiatives
  • Preferred: Advanced degree in finance, business administration, or related field; familiarity with fund accounting systems (e.g., BlackRock, Morningstar); and experience with private equity or venture capital operations
